How can life insurance agents organize lead follow-up?
A useful lead record should answer three questions immediately: Who is responsible? What happened last? What should happen next? A large contact list is difficult to work when those answers are missing.
Capture the source and the next action
Keep a consistent record of where a lead came from, when it arrived, the responsible person, the latest outcome and the next action date. Record contact preferences and any applicable permission information through your approved process. Receiving a lead is not a reason to assume every contact method is appropriate.
Use statuses that describe real progress
Choose a small set your team can explain consistently. For example: new, attempted contact, conversation in progress, appointment scheduled and closed. Define what moves a record between stages. Keep “next action” separate from “status”: a conversation can be in progress while the next action is to send requested information on a particular day. These are workflow examples, not a claim about the exact labels in your software.
Review an actionable queue each day
Start with overdue actions, then work through today’s commitments and newly received leads. A daily review should end with an owner and a next step for each active record. Keep closed and unsuitable records distinct so they do not repeatedly appear as fresh opportunities. Use a deliberate stop condition instead of leaving every record active forever.
Make the handoff explicit
When a lead becomes an application or sale, record the connection and identify who now owns the case. A producer, appointment setter and statement reviewer may need different views. Agree on what information must accompany the handoff and verify that the receiving person can find it. Do not assume that changing a lead status completes every downstream task.
Evaluate sources without confusing activity with results
Track source consistently so you can review which leads progress into actual sales. A count of imported contacts or completed calls measures activity, not conversion. When comparing sources, use the same date window and definitions, and allow time for cases to progress. Small or incomplete samples should remain tentative.
